The challenge: Modernizing document management in an institution with over 100 years of history

The American University in Cairo (AUC), one of the most prestigious universities in the Arab world, faced a significant challenge: its document management systems and administrative processes were completely outdated. Despite having a modern campus in New Cairo and an international academic community, its internal operations still relied on physical files, manual paperwork, and disconnected systems. Each student had to submit more than ten types of paper documents, resulting in a massive administrative workload, delays, and an unsatisfactory user experience.

AUC was looking for more than just basic document digitization. Its vision was clear: to completely transform content management across the campus, centralize processes, and deliver a smooth, modern, and seamless experience for both students and administrative staff. The challenge wasn’t just about implementing new software—it was about redesigning an entire information management culture within an institution with a deeply rooted bureaucratic heritage.

The solution: University-scale automation, intelligent content serving the campus

Thanks to the collaboration between AUC, BMB, and Laserfiche, a comprehensive content services platform was designed and implemented, transforming how the university manages information. At the core of the solution was Laserfiche, a powerful document management and process automation platform, selected for its ability to integrate with AUC’s existing systems (such as Banner and SAP) and scale institution-wide.

Intelligent workflows were designed to automate key processes in critical departments such as the Office of the Registrar, General Secretariat, Security, and Management Control. Through digital forms, centralized document management, and advanced data analytics, the university was able to reduce response times, eliminate redundancies, and minimize errors. Tasks that previously took weeks and required physical file transfers between departments are now completed in minutes—with full traceability.

The project not only improved procedures, but also redefined the student experience. From admission applications to diploma issuance, every interaction is now integrated, secure, and automated. This transformation has positioned AUC as one of the region’s most innovative universities in terms of administrative digital transformation.
